Registration is open to all persons interested in the AAEE 2018 Conference.

All persons intending to attend the Conference must complete a Registration Form.  Please read the information below before you complete the Registration Form.  Should you experience any difficulties please contact the Conference Managers at aaee2018@arinex.com.au.

Registration for the Research Symposium is open. You can register for the Research Symposium via the Conference Registration link.
If you wish to attend the Research Symposium ONLY, you can register via the Research Symposium link to the right of this page.

Conference Registration Now Open

Research Symposium Only Registration

We would be pleased to have you to join us for the third biennial AAEE Research Symposium to be held at the Gold Coast QLD on Sunday, 21 October, 2018

The cost is $60 – and covers symposium costs plus food.

If you wish to attend both the Conference and the Symposium, you can register via the normal Conference Registration link.

Registration Terms and Conditions

The 3 day registration fee entitles all delegates to the following:

  • All sessions
  • Social functions: Welcome Reception, Conference Dinner
  • Catering: Morning and afternoon teas, lunches

Student Registration*

A student is defined as a holder of a student identification card from a recognised tertiary or secondary educational institution or international student card.  Students must be studying full time to qualify for the discounted rate.  Student registrants are entitled to the following:

  • All sessions
  • Social functions: Welcome Reception only
  • Catering: Morning and afternoon teas, lunches

Please note: Your Student Identification Number with be required to register as a Student.

Concession Registration**

A concession is defined as a holder of a Commonwealth Government issued card. You must hold a valid Health Care or Seniors card to be eligible for the discounted rate. Concession registrants are entitled to the following:

  • All sessions
  • Social functions: Welcome Reception only
  • Catering: Morning and afternoon teas, lunches

Please note: Your Health Care Identification Number, or Seniors Card number will be required to register as a concession.

Day Registrations

Day Registration entitles delegates to the following:

  • All sessions on the nominated day
  • Catering: Morning and afternoon teas, lunches on the nominated day

Registration confirmation

Your completed registration and successful payment will be acknowledged via email with confirmation of your requirements according to your registration form.

Name badge

Each member of the Conference will receive a name badge upon attending the registration desk onsite. The badge will be your official pass and must be clearly visible at all times to obtain entry to all sessions and to social functions. The Conference Managers expect appropriate behaviour from attendees and reserve the right to revoke the badge and privileges of anyone behaving in an inappropriate manner.

Group Registration

Group discount registration for 3 or more delegates is available to the following AAEE membership categories.

Individual or Family AAEE members.
If there are 3 or more Individual or Family AAEE members in the one organisation, then they are all eligible for the 10% discount group registration rate as a group registration.

School/Small NGO members.
If your organisation is a School/Small NGO AAEE member you only eligible for two AAEE Membership registration rates; however to qualify for the 10% group discount you will need to have an additional Individual or Family AAEE member in your organisation to qualify your organisation for the 3 delegate eligibility of 10% discounted group registration rate.

Corporate member.
If your orgainsation is a Corporate member that would qualify your organisation for 4 delegates who are all eligible for the 10% discount registration rate.

Existing School/Small NGO AAEE members can apply to upgrade their membership from School/Small NGO to Corporate to take advantage of the group conference registration discounted rate by contacting AAEE by email at admin@aaee.org.au.

The Group registration is available until 10 August 2018 via this link.

The Group registration form must be completed by the group on or before 10 August 2018 to be eligible for the early registration fee and payment must be received by 10 August 2018, even without the list of participants.

Private touring, private functions, hospitality arrangements

Should you have any specialised group requirements for private touring, private function, transportation or hospitality services other than those organised for the official program, please contact the Conference Managers who would be pleased to assist with arrangements.
It is requested that you advise the Conference Managers of any private /corporate functions that might be planned outside of the official program.

Credit Card

Please note the preferred method of payment is by credit card. Please visit our secure website to register and book your accommodation in ‘real time’. Accepted credit cards: MasterCard, Visa and American Express. Please note all transactions by credit card will appear on your statement as payment to ‘Conference by Arinex Pty Ltd’.

Invoice Request

If you require an invoice before proceeding with registration, this option is also available in the registration link. Please complete your registration as normal, and click ‘I require an invoice to process payment’. An invoice will be sent to your registered email address. Payment is due within 30 days.

 

Cancellations must be notified in writing to the Conference Managers.

Registration Fees
Before Saturday 21 July 2018 will incur an A$150.00 cancellation fee.
Before Sunday 22 July 2018 will incur a 50% cancellation fee.
Cancellations on or after Tuesday 11 September will receive no refund.

Accommodation
Oaks Calypso Plaza

  • A cancellation charge of one night’s accommodation rate will apply for cancelled bookings after Wednesday 19 October 2018.
  • A cancellation charge of one night’s accommodation rate will also apply if you do not arrive on the date you are booked to check in.

Mantra Twin Towns

  • A cancellation charge of one night’s accommodation rate will apply for cancelled bookings from Wednesday 19 October 2018. To Thursday 4 October 2018
  • A cancellation charge of 100% of the accommodation booking will apply for cancelled bookings after Friday 5 October 2018.
  • In the event of a non-arrival a 100% cancellation fee will apply to your booking.


Social

Payments are non-refundable as at Tuesday 11 September 2018.

The program is correct at the time of publishing. The organisers reserve the right to delete, modify or alter items from the program or to delete, modify or alter any aspect of the Conference timetabling and delivery at their sole discretion and without notice. Neither the host organisation(s) nor the Conference Managers will accept liability for any loss or inconvenience caused to any party consequent to such changes.

The Conference Managers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the Conference for promotional, advertising or reporting of the Conference and/or its content at their sole discretion.

Australia operates under the Privacy Act 1988 (Cth), as amended, and the Privacy Amendment (Notifiable Data Breaches), 2017.  The objective of these is to protect the right of the individual to privacy of their information.

Europe operates under the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679), a regulation in EU law on data protection and privacy for all individuals within the European Union. The GDPR aims primarily to give protection to citizens over their personal data.  The legislation was adopted on 27 April 2016.

The Conference Managers comply with these legislations and are committed to protect the right of the individual to privacy of their information.

Arinex will not sell your personal information to third parties.  If you believe that any information we are holding on you is incorrect or incomplete, please email us and we will promptly correct the information.  You may also withdraw your consent for use of your information by advice to us in writing.

 Why do we wish you to provide your information?

We require your information to facilitate provision of information to you regarding the Conference and to facilitate your participation in the Conference.  Information collected in respect of your proposed participation in any aspect of the Conference will be used for the purposes listed below.  You can give or withhold your consent for each or all of these uses.  Please indicate your preferences when completing your registration form but please note that we will be unable to forward any information relating to the Conference or to communicate with you regarding your registration if you select ‘no’ to point 1.

What we will do with your information?

  1. Planning and conduct of the Conference including arrangements for your participation (e.g. accommodation booking);
  2. In the Delegate List published for the Conference;
  3. May also be provided to organisers of future occurrences of this Conference;
  4. May be used to provide you with information of other relevant events in your area of interest.

Important Notes:

  • The parties who will have access to your information (subject to your preference selections on above points) are the Conference Managers, the Conference host organisation (points 1 and point 4), delegates, sponsors and exhibitors of the Conference (point 2) and any future organisers of the Conference (point 3).

The parties mentioned above will rely on your above consent indications for the purposes of compliance.

  • You may withdraw your granular consent at any time by notice in writing to the Conference Managers.
  • You are entitled to access the information held by written application to the Conference Managers.
